Room Scheduling Policy

To All Faculty, Staff and Students in the School of Education -

We are updating the room scheduling processes effective June 15. All rooms, including the computer lab, will now be scheduled through Kerry Hasa in Instructional Support. The room schedule will include ALL SOE classes and events, including those held on campus and off-site.

  • All room and lab requests and cancellations need to be in writing. The online form is available two ways, it can be accessed through the SOE website by clicking on Room Calendars and Information on the right, or go directly to http://education.ucdavis.edu/news_events/calendar.php. Please bookmark this location. It is very important that you use the online form rather than emailing Kerry directly; the form automatically is sent to those designated as back ups for scheduling so someone can respond to you even if Kerry is out.
  • Please make every attempt to give at least 48 hours notice to request a room. Last minute requests will be scheduled on an as-available basis.
  • Since most classes meet in the afternoons, please try to schedule meetings during the morning hours or on Fridays when rooms are not as impacted.
  • Because rooms are heavily booked please be aware of the times your class or meeting is scheduled, as there may be another group scheduled directly after you. Most classes are scheduled from 10 minutes after the hour until the hour (10:10-12 or 5:10-8). Please plan to adhere to the schedule. Please note also that there are meetings and other events taking place that do not meet regularly; just because you can get into a room early on one day does not mean you will be able to get in early every day.
  • If your class meets outside of the scheduled quarter dates e.g., it starts or ends early, has extra meetings, meets on dead day, or meets during finals week, you need to let Kerry know so the room can be scheduled for you.
  • If you are scheduling the computer lab (2367) or the video conference room (2078) outside of normal 8-5, M-F hours, you will have to make arrangements for keys with the business office and/or lab access codes with the ITeam. These rooms have special requirements; whenever you schedule one of these rooms please check with the ITeam to make sure you have everything you need. Please note there is no food or drink allowed in the videoconference room (2078).
  • Link to Room Searching – http://education.ucdavis.edu/news_events/calendar.php. At this site you can search by date and can choose to see everything or specify certain buildings and/or rooms. This will show everything that is scheduled, including rooms outside of SOE (e.g. campus rooms, CANDEL, etc.). Since it is web-based, you can also do a look up and send the entire page to someone via email.
